UCLA Gateway

The University has preferred agreements with three rental car agencies for travelers on University business. The agreements include the highest level of Loss Damage Waiver (LDW) and Liability insurance. Travelers or arrangers must book using the UCLA ID number to get the negotiated rate and decline all optional insurance. Cars may be booked through the UC Travel Center, online or via telephone direct to the rental agency. These rates may be obtained at any time subject to availability at the individual location. Personal use of these rates is allowed when extending an approved business trip rental. Only the days used for the business portion will be reimbursed and LDW and Liability insurance for personal days may not apply.

UC Employees and Students are restricted from renting 15 passenger vans from rental car agencies for business or class activities due to safety concerns. This is due to the National Highway Traffic Safety Administration's (NHTSA) determination that 15 passenger vans are unsafe in certain circumstances and more testing and studies are required. Our rental car companies will be directed to delete these vehicles from all University contracts until the National Highway Traffic Safety Administration has completed their investigations.

Hertz

Hertz provides three-tier pricing:

• A rate for domestic US rentals outside of California
• A rate for California rentals originating at an airport
• A rate for California rentals originating at a Hertz Local Edition location 

All rates include Loss Damage Waiver (LDW) and Liability insurance when the corporate ID #71596 is used when reserving the vehicle. These rates apply to all University travelers while on business and can be extended for related personal travel. Insurance coverage is included for the entire trip, including the personal leg.

Note: Rates are exclusive of taxes and fees. One way rental rates may vary and also incur a $.37 per mile one way charge.

*All 1 day rentals commencing on a Tuesday or Wednesday will be charged an additional $3 surcharge.

How to Reserve
To take advantage of the preferred rates, you may make a reservation directly with Hertz via web or telephone or you may make your reservation through the UCLA Travel Center. Even last-minute reservations should be reserved using the UCLA Discount number. The Discount Number for UCLA travelers is CDP-ID #71596.

Additional Benefits
Travelers are encouraged to join Hertz Gold Club, free of charge, to take full advantage of the benefits offered by Hertz. Membership in the Gold Club allows a traveler to go directly to a pre-assigned car and to drive the car from the lot; the paperwork will be in the car, and a driver's license will be requested upon exiting the lot.

• If you are not a member of Hertz Gold Club, see the Hertz website for an application. You will be asked for the UCLA CDP number which is 71596, and the UCLA promo code which is 5036. Optional coverages should be declined. Your membership number will then be returned to your email address.
• If you are currently enrolled in the Hertz Gold Club, please update your profile at the Hertz website. You will need your Gold Number and current password (or you can request a new password).

National

All rates include Loss Damage Waiver (LDW) and Liability insurance when the UCLA ID #5400325 is used when reserving the vehicle. These rates apply to all University travelers while on business and can be extended for related personal travel. Insurance coverage is included for the entire trip, including the personal leg.

Note: Rates are exclusive of taxes and fees. National will charge the local daily rate without any additional drop off charges for one-way rentals booked in the US Local Rate Zone.

*Rates included unlimited mileage and no excess mileage charges. Daily surcharge rates may apply to certain cities; see the Car Rental City Surcharges related link. For specific car classes not listed above, all US locations will apply up to a 20% discount to the National Business Rate (NBR).
**Hybrid vehicles are charged at applicable intermediate or full size rate.

Emerald Club Membership
National's Emerald Club membership is available to University employees free of charge. Just use the related link to apply. At selected locations, with the Emerald Club Aisle, you can bypass the counter and choose any car on this exclusive section of the lot when you reserve a midsize car.

Enterprise

All rates include Loss Damage Waiver (LDW) and Liability insurance when the UCLA ID #XZ32C01 is used. (For personal rentals, ID #XZ32C02 must be used.) These rates apply to all University travelers while on business.

Note: Rates are exclusive of taxes and fees. One way rentals within CA also incur a $25.00 one way charge. One way rentals outside of CA, but within the same Metro City area also incur a $25.00 one way charge. All other one way rentals are subject to Enterprise's normal market driven fees.
