Data Security

Whether data is used for research or as part of administration and management, if it includes Social Security Number, bank account information, or credit card information, it is covered by Senate Bill 1386. Anyone associated with the University is obligated to maintain its security.


Administrative Data
The first step is determining who should have access to administrative data. This role is assigned to the head of unit, who designates whether an employee requires that access to perform his or her job functions. The actual assignment of access and the establishment of a logon ID is handled by a Department Security Administrator (DSA).


Student Data
Registrar’s Information Services is a key campus resource providing support services to department staff, faculty and campus groups. Services include database development, customized reporting, application support, training and consulting. Their site provides information on access, available systems and login links.


Reporting Breaches of Data Security
UCLA Policy 420 covers the process of dealing with breaches of systems and data and meeting the requirements of SB 1386. The first step is to notify the coordinator for your area, who will then oversee the process.
