BruinBuy Training

Designated employees may register for the following classes for BruinBuy training through the UC Learning Center.

BruinBuy Preparers Class
This course is intended for new BruinBuy users with responsibility for creating and approving BruinBuy requisitions. Reviewers may enroll in this class in lieu of the Reviewer class; they will receive full training in BruinBuy.

Participants must have an Information Technology Services (IT Services) Logon ID and active password prior to class. Those who do not have an IT Services logon ID must submit a System Access Request form to IT Services at least two weeks prior to training and must attend the IT Services' Security and Logon ID training class. Participants must have an active email address established in the Orion directory and DACSS access to AP730 established by their departmental security administrator (DSA) at least 24 hours prior to class.

This class combines lecture with class discussions and hands-on computer workshops. Class topics include:

  • Overview of the BruinBuy system.
  • Details of responsibilities within the BruinBuy process.
  • Overview of BruinBuy requisitions, transaction processing and information inquiry responsibilities.
  • Principles of UCLA financial policies.
  • Review of system security and accountability.
  • Multiple vendor catalog processing.
  • Multiple-line special request processing.
  • Reimbursements and check requests.

BruinBuy Reviewers Class 
This class is for BruinBuy reviewers only. Participants must have an IT Services Logon ID and active password. Additionally, participants must have an active email address established in the Orion directory and DACSS access to AP730 established by their departmental security administrator (DSA) at least 24 hours prior to class.

Topics include:

  • Overview of the BruinBuy system.
  • Overview of BruinBuy requisitions, transaction processing and information inquiry responsibilities.
  • Principles of UCLA financial policies.
  • Details of BruinBuy requisitioner and reviewer responsibilities.
  • Review of account security and accountability.

BruinBuy Update Workshop
This class is intended for current BruinBuy preparers and reviewers who require a refresher course in any aspect of BruinBuy training. The class will discuss the latest enhancements of the BruinBuy system and any new procedures associated with the BruinBuy system. Participants can receive assistance with setting up and/or updating profiles, ship-to addresses and user defaults.

Those attending may also bring actual work or samples to class regarding any BruinBuy issues associated with vendor suppliers, supplier catalogs, purchase requisitions, orders, multiple-line special requests, reimbursements, faxing special requests, PCard, invoices, check requests and other topics.

Participants must be active BruinBuy users and must have an active IT Services logon ID and password. Those who do not have an IT Services logon ID must submit a System Access Request form to IT Services at least two weeks prior to training and must attend the IT Services Security and Logon ID training class.
